Case study: certifying financial documents for a visa application

Many missions ask for an original bank certificate or statement. Where a certified copy is needed, the original must be produced and the destination’s recency limit checked.

The situation

A visitor-visa applicant evidencing funds

What actually blocked the file

What to prepare for bank and financial document certification

  • The signer’s valid original passport or Thai ID card.
  • Written confirmation from the receiving authority of which certification is required and whether onward legalisation is needed.
  • The original bank balance certificate or statement issued by the bank.
  • A copy of the passbook page showing the account holder’s name and account number.
  • Evidence of source of funds where the receiving authority requires it.
  • A power of attorney and the agent’s ID, where a representative handles steps that legally permit representation.
  • Any additional copies specifically required by the receiving authority in your case.

How bank and financial documents are notarised

  1. Confirm with the receiving authority which certification is required — signature certification, certified true copy, or certification of facts — because the wording differs for each.
  2. Check that the attorney is registered with the Lawyers Council as a Notarial Services Attorney and holds a verifiable registration number.
  3. Obtain a bank certificate or statement issued and signed by the bank officer.
  4. Present the bank-issued original for a certified copy, or for certification of the applicant’s signature.
  5. Check whether the destination sets a validity window, since some bodies accept only recently issued statements.
  6. The attorney signs, seals, and records the notarial registration number and date on the certification.
  7. For overseas use, take the notarised document for legalisation at the Department of Consular Affairs and then, where required, at the destination country’s embassy or consulate.

Why a certified true copy is not accepted at destination

The original was not produced
A certified true copy attests that the copy matches an original the attorney examined. Without the original there is nothing to attest against.
The copy omits pages or crops the seal
A copy missing a page, or cropping a seal or signature, is commonly returned with a request for a complete and fully legible reproduction.
The original is a record only the issuing office may certify
For civil-registration records, destinations often require a copy certified by the issuing district office, in which case an attorney’s certification cannot substitute.
The document was signed before meeting the attorney
Signature certification confirms that the signer signed in the attorney’s presence. If the document arrives pre-signed, the attorney will ask for a fresh copy to be signed in person.
Identity document is expired or presented only as a copy
Identity verification requires a valid original passport or ID card. A copy or an expired document is not sufficient, and the certification waits until a valid original is produced.
The certificate wording does not match what the destination prescribes
Many receiving bodies prescribe their own certificate wording. Generic wording is commonly returned with a request to re-execute using the prescribed form.
The document still contains blanks or unfilled fields
The attorney certifies the document as it stands at that moment. Blanks that could be completed later should be filled in, or struck through, before signing.

No — the balance is certified by the bank. The attorney can certify only that the copy matches the original examined.

It depends on the destination: some accept verifiable electronic documents, others require a bank-issued and stamped version.
