Using a virtual office as the registered head office
When you register a limited company with the Department of Business Development, you state the head office address and normally attach proof of the right to use it: a letter of consent signed by the house owner or an authorised signatory of the owning company, a copy of the building's house registration, and a simple location map. Where the consenting party is a company, its own company affidavit is usually attached as well.
The address must have a house number on a house registration. A parcel locker or P.O. box cannot be used. Ask to see a sample consent letter before paying, and check that the person signing it has authority to sign for the building owner.
The head office address appears on the company affidavit and flows into almost every official document afterwards, including financial statement filings, tax returns and contracts. Moving later means registering an amendment and updating every agency, so choose a provider likely to stay in business for the long term.

Can you register for VAT at a virtual office address?

An address with no workspace, no company sign and nobody responsible on site carries a real risk of further questions or refusal.
Once registered, the business must display its VAT registration certificate (Por.Por.20) at the place of business and keep tax records as the law requires. If you choose a virtual office, ask whether other clients have registered for VAT at that address, whether you can put up a sign and store records there, and whether someone will coordinate if an officer visits.

For BOI promotion the requirements depend on the activity. Some activities require a factory or office as described in the project. Using a virtual office while setting up the company may be possible, but plan the move to real premises in line with the conditions on the promotion certificate.
Thai banks run know-your-customer checks on corporate accounts, and some ask for a lease or visit the premises, particularly where directors are foreign nationals. Policies vary by bank and branch, so ask the bank before settling on an address.

Official mail and deadlines you cannot miss
The risk people overlook is official mail: Revenue Department notices, court summonses, or DBD reminders about financial statement filings. These go to the registered head office and many carry response deadlines. If the provider is slow to tell you, the company can miss the deadline and face penalties.
