Translate first or certify first?

Translate first, then take the original together with the translation to the legalisation step, which addresses the document and the translation together under the Department’s practice.

Does every country require embassy certification?

No — it depends on the country. Some accept the document after the Department of Consular Affairs step alone, so check that country’s own source before proceeding.

Is a self-made translation acceptable?

In practice usually not: the translation must be complete, verifiable against the original, and many receiving bodies also prescribe who may translate.

How long does a certified set remain usable?

Certification carries no expiry, but the destination usually requires the underlying certificate to be recent, and that rule sets the real shelf life of the set.

Thai police clearance certificate with an official fingerprint card

Using a Thai police clearance abroad — the translation and certification sequence you must not reorder

Quick answer

The standard sequence is: obtain the original certificate from the Royal Thai Police, have it translated into the language the destination requires, take the original and translation through the legalisation service of the Department of Consular Affairs, then obtain destination-embassy certification if that country requires it. The order cannot be changed because each step certifies the signature of the one before.

Key facts and the responsible authority

Using a Thai police clearance abroad — the translation and certification sequence you must not reorder
Who certifies Thai official documents for overseas use	The Legalisation Division of the Department of Consular Affairs, Ministry of Foreign Affairs, certifies documents and translations
What certification confirms	Certification confirms the signature and seal of the signing official; it does not verify the content of the document
Order of steps	Original → translation → Department of Consular Affairs → destination embassy (only where that country requires it). The order is fixed
Translation language	Set by the receiving body — usually English or that country’s official language. Confirm before commissioning the translation
Embassy-specific rules	Each embassy sets its own forms, appointment system and copy requirements — check that embassy’s own website

Document checklist and the certification involved

The original police clearance certificate from the Royal Thai Police
Must be the signed and sealed original, not a photocopy
A translation into the language the destination requires
Must render every element including seals, laid out so it can be compared with the original
The document holder’s passport, with a copy
Used to check the spelling in the translation against the passport
A power of attorney if someone files on your behalf
With a copy of the representative’s ID or passport

Step by step

Check the destination country’s requirement: Read the receiving body’s or the embassy’s own page to see which certification form it requires and how recent the document must be.
Prepare a translation that matches the passport: Have the translator use the passport spelling and render all seal text, rather than writing “seal” in place of the actual wording.
File for legalisation at the Department of Consular Affairs: Submit the original with the translation through the channel the Department offers; turnaround depends on the service type selected.
Add destination-embassy certification where required: Some countries require their embassy in Thailand to certify after the Department step; book and prepare that embassy’s forms.
Check the finished set before sending: Verify the original, the translation and every certification layer are present, and scan a copy before the set leaves the country.

What to do

Get the destination’s certification requirement in writing and keep it as your reference throughout.
Request more than one original if the destination needs several sets; obtaining more later means restarting the process.
Have the translator note the passport spelling in the translation to pre-empt disputes at the destination.
Allow for Thai public holidays and the destination embassy’s own holidays, which rarely coincide.

What to avoid

Do not submit a photocopy in place of the original; legalisation works from the signature and seal on the original.
Do not alter, strike through or unbind a certified set — separating it invalidates the certification.
Do not translate before confirming the required language; the wrong language means starting the set again.
Do not rely on any provider’s promised turnaround, since the timing belongs to the government offices.
